Why dental credentialing matters for your revenue

Every week a provider isn't credentialed with a payer, claims for patients with that insurance get denied. You're treating them, doing the work, using the supplies, paying your staff. But you can't bill for it because the provider isn't enrolled yet. That's not a paperwork problem. That's a revenue problem.

Credentialing delays are the most common reason new associates cost practices money in their first 3-4 months. The dentist starts seeing patients on day one. But if credentialing with their top payers isn't done, every claim goes out and comes back denied. Some practices try to backdate claims after credentialing completes, but most payers don't allow it. That revenue is gone.

The credentialing process involves applications with each individual payer, CAQH profile setup and attestation, license verification, malpractice insurance verification, DEA registration, NPI validation, and payer-specific requirements that vary from company to company. Each payer has their own forms, their own timeline, and their own follow-up process. Missing one step delays the entire application.

That's what we manage. The full credentialing workflow from initial application through approval, plus ongoing re-credentialing and CAQH maintenance so nothing lapses.

What our dental credentialing service covers

Every step of provider enrollment handled by one team. From CAQH setup to payer approval and beyond.

CAQH ProView management

We set up your CAQH profile if it doesn't exist, update it if it does, and handle quarterly attestation. Most payer applications pull from CAQH, so keeping it current and complete speeds up every enrollment.

Payer enrollment applications

We complete and submit applications with each payer on your list. Delta Dental, Aetna, MetLife, Cigna, Guardian, United Healthcare Dental, Humana, state Medicaid, and any others you need. Every payer has different forms and requirements. We know them.

Weekly follow-up

Payers don't move fast on credentialing unless someone pushes them. We follow up weekly on every open application. When there's a delay, we find out why and fix it. When they need additional documents, we send them the same day.

Timeline tracking

You always know where every application stands. Which payers are approved, which are pending, which need additional information. No guessing, no calling us to ask for an update. We report on status proactively.

Re-credentialing

Most payers require re-credentialing every 2-3 years. If it lapses, you drop out of network and claims start getting denied. We track every deadline and handle the renewal paperwork before it becomes a problem.

Multi-location and group credentialing

Adding a provider to multiple locations? Each location often needs its own enrollment with each payer. We manage the matrix so every provider is credentialed at every location with every payer. No gaps.

New provider starting soon? Every week of credentialing delay is revenue you can't bill for.

How dental credentialing works with PracticeAlpha

We handle the full process. You tell us which providers need credentialing and with which payers. We do the rest.

1

Gather provider information

We collect everything needed: licenses, NPI, DEA, malpractice insurance, education history, work history. If a CAQH profile exists, we review and update it. If not, we build one from scratch.

2

Submit applications

Applications go out to every payer on your list. Each one formatted to that payer's specific requirements. We handle the differences between payers so nothing gets kicked back for a missing field or wrong form version.

3

Follow up weekly

Credentialing departments are slow. We call and check status every week. When they need something, we send it the same day. When there's a delay, we escalate. Average timeline is 60-120 days depending on payer.

4

Approval and ongoing maintenance

Once approved, we confirm the effective date and make sure your billing team knows when to start submitting claims. Then we track re-credentialing deadlines and handle renewals before they lapse.

Payers we credential with

We handle credentialing with every major dental insurance company in the United States. The payers dental practices most commonly need enrollment with include:

Delta Dental is the largest dental insurance provider in the US. Most practices start here. Each state's Delta Dental plan operates somewhat independently, which means credentialing requirements vary by state. We know the differences and handle each one accordingly.

Aetna Dental credentialing typically takes 60-90 days and requires a complete CAQH profile. Aetna is one of the more straightforward payers to credential with as long as the application is complete on the first submission.

MetLife Dental is one of the most common dental payers for employer-sponsored plans. Credentialing runs 60-90 days. Re-credentialing is required every 3 years.

Cigna Dental tends to take longer than most payers, often 90-120 days. Their credentialing department requires frequent follow-up. We stay on them weekly until the application is approved.

Guardian, United Healthcare Dental, Humana, and state Medicaid programs are all part of our credentialing scope. If a payer accepts dental providers, we can enroll you with them.

Who built PracticeAlpha

Ori Bekerman, Founder

Built and scaled a multi-location dental organization. Every time a new associate joined or a new office opened, credentialing was the bottleneck. Providers couldn't bill, revenue was delayed, and nobody was tracking the applications.

PracticeAlpha was built to fix that. We treat credentialing as a revenue-critical process, not paperwork. Because every week a provider isn't enrolled is a week of production that can't be billed.

Common questions about dental credentialing

How long does dental credentialing take?

60-120 days depending on the payer. Delta Dental often moves faster. Cigna and state Medicaid programs tend to take the full 120 days. We track every application and follow up weekly to prevent unnecessary delays.

What is dental provider credentialing?

Credentialing is the process of enrolling a dentist with insurance companies so they can be in-network and accept patients with that coverage. It involves applications, background checks, license verification, and payer-specific requirements.

What is CAQH and do I need it?

CAQH ProView is a universal provider database that most dental insurance companies use to pull credentialing information. Keeping your CAQH profile updated and attested quarterly is required for most payer enrollments. We manage your CAQH profile as part of our credentialing service.

Can you credential a new dentist joining my practice?

Yes. Whether it's a new associate, a partner, or a locum, we handle the full enrollment process with every payer your practice is in-network with. The sooner we start, the sooner they can bill.

Do you handle re-credentialing?

Yes. Most payers require re-credentialing every 2-3 years. We track those deadlines and handle the renewal paperwork before they lapse so you never accidentally drop out of network.

What payers do you credential with?

All major dental payers: Delta Dental, Aetna, MetLife, Cigna, Guardian, United Healthcare Dental, Humana, and state Medicaid programs. If a payer accepts dental providers, we can credential with them.

What happens if credentialing is delayed?

Claims submitted for a provider who isn't yet credentialed get denied. You're treating patients with that insurance but can't bill for the work. Most payers don't allow backdating. Every week of delay is unrecoverable revenue.

How much does dental credentialing cost?

Pricing depends on the number of providers and payers. We offer credentialing as a standalone service or as part of a full RCM package. Contact us for a quote based on your specific needs.
